A digital visitor system automating registration, approvals, and gate pass generation — with WhatsApp and email built in.
Every visitor used to mean a paper register, a phone call for approval, and a handwritten pass. I built a system that recognizes returning visitors automatically, sends WhatsApp and email invitations, routes approvals digitally, and prints a gate pass in seconds.
By replacing legacy sign-in books with QR check-ins and dynamic employee dashboard routing, the gate check-in bottleneck disappeared. Security personnel can capture guest snapshots and verify invitations immediately.
Creates visitor invitation links, registers pre-booked guests, and approves gate check-in tickets.
Manually calling the gate house to approve guest entries one-by-one.
Performs guest registration scans, captures visitor photos, and prints physical gate pass receipts.
Slow paper registers with zero search history, causing queues at the gate.
Reviews guest registers, exports visitor history records, and monitors gate traffic spikes.
No searchable history records to trace which visitor checked in to see whom, and when.
The platform utilizes a smart identity mapping engine that uses phone number matching to pull histories instantly. Asynchronous webhook integration routes WhatsApp notification callbacks without locking main security check-in queues.
Modern tablet UI at the gate for self check-ins, returning guest auto-fills, and photo captures.
Automated messaging workflows distributing check-in pass links and QR invitations to guests.
Pushes instant entrance approval requests straight to host employee portals on guest arrivals.
Integrates hardware webcams to capture visitor photos and map them onto pass tickets.
Automatic print queues executing physical thermal slip checkouts upon employee approvals.
Active logs showing guest checkout status, entry timestamps, and real-time building occupancy.
"Reliably recognizing returning visitors and syncing WhatsApp/email delivery status back into the approval flow was the core challenge."
Because visitor phone logs dynamically mutate and messaging delivery details are dependent on external messaging API response speeds, manual database matching caused checkout delays at the gate.
To solve this, I built a smart identity mapping engine. The matching query pulls history metrics in under 50ms using indexing, and messaging webhook statuses route to background channels asynchronously to prevent bottlenecking check-in workflows.
Padmavati Pulps & Motors completely secured their facilities check-ins, replacing slow paper registers with an automated, searchable, and secure gatekeeper hub.
